BOOKING CONDITIONS

These booking conditions apply on the reservation and payment of beds and extra services (e.g. meals, membership) via www.jeugdherbergen.be. The Belgian law applies to these terms and booking conditions. In case of discussion, only courts in the juridical district of Antwerp are competent.

Rates : 

All rates on this website are in Euro. In some cities and towns an extra city tax is additional.

The Vlaamse Jeugdherbergen vzw, reserves the right to change these rates at any time without prior notice. However, already confirmed and paid reservations will be invoiced at the rates that were applicable at the time of reservation.. 

Membership : 

VJH is a member organisation. In order to stay in one of our hostels, you can become an annual or daily member. As an annual member, you can purchase a membership card from your National Youth Hostel Association or Hostelling International and you benefit from a range of advantages, such as 10% saving on the cost of your accommodation. Daily members pay a daily membership fee, included in the overnight stay.

If you live in Belgium, you can request a VJH membership card online via www.jeugdherbergen.be/en/membership. Alternatively, you can also buy a membership during your online booking or in one of our hostels. The membership card is valid for 12 months. Pursuant to Article VI.53 of the Belgian Code of Economic Law, customers have no right to cancel the purchase.

Online bookings : 

Online bookings are available to individual travellers, families and small groups of maximum 9 persons. Each booking needs to be paid by Bancontact/Mister Cash or credit card payment (VISA or MasterCard) and will automatically be confirmed by the Vlaamse Jeugdherbergen vzw. Only the unique confirmation number combined with a payment confirmation guarantees the booking. Should the guest arrive after the booked arrival day or in case of “no-show”, this guarantee no longer applies. A reimbursement – even partial – will not be possible. The latest cancellation time will be mentioned on the booking confirmation which can be printed by the guest and will automatically be sent to the guest as long as a valid e-mail address was provided. 

Past this latest cancellation time, changes or reimbursements – even partial – will not be possible. Every change or cancellation needs to be done in writing (letter or email), directly to the hostel manager of the concerned hostel. 

Please note that the hostel reserves the right to refuse access to those whose behaviour is disturbing for other customers or non-compliant with the general interest of the hostel.

Cancellation procedures :

Bookings made on this website cannot be amended. Cancellations need to be done in writing – either by letter or email. When made by letter, the postage stamp counts as proof. No matter the reason of cancellation, cancellation fees cannot be waived. Reimbursements will only be done through our card “aquirer” – Ingenico Group

Cancellation fees : 

The costs associated with cancellations are as follows:
Free cancellation is possible until 12:00 PM (noon) on the day before arrival
Cancellations made after 12:00 (noon) the day before arrival: 100% of the total costs
In case of a no-show, the first night will be charged at 100%.

These costs may differ for groups. Usually a contract is drawn up in advance which includes specific guidelines and cancellation conditions.

Force majeur : 

The VJH cannot be held responsible if due to unforeseen circumstances the reservation cannot be used. These circumstances beyond control could be – although are not limited to this list – war, civil war, flooding, a fire, terrorist acts, problems with the public transport system, closure of harbours or airports, strikes, epidemics, quarantine, meteorological conditions, government decisions or any other circumstance beyond the control of the VJH. 

Payment : 

All online bookings need to be paid in advance by Bancontact/Mister Cash or credit card (Visa or MasterCard). The name on the card and the name of the person who makes the reservation needs to be the same. All payments are made to the “Vlaamse Jeugdherbergen vzw”. The security of the payment transaction is the responsibility of the payment service provider, in this case the company Ingenico Group. All payments are secured by encrypting methods (3D-security – SSL-encryption – Verified by Visa – MasterCard Secure Code). VJH never has access to the customer’s credit card details during the whole transaction.

GENERAL TERMS

Protection of personal data : 

We take privacy seriously and make sure we only collect information that is used to handle a request, booking, membership or to optimise the website. We do not use the data for any other purpose and we don't pass it on to third parties without explicit permission. Read our Privacy and cookie policy here

Use of this website : 

During the development of this website, VJH has spent a lot of attention to the security and privacy aspects. VJH cannot be held responsible should, despite the measures taken, data be intercepted, decoded, changed, stolen, used or abused by others, regardless the consequences (direct or indirect) this may have for the customer. 

VJH cannot be held responsible for the consequences (direct or indirect) should this web site not be accessible, whatever the cause is. For example electricity problems, IT-problems at VJH or telecommunication problems at the internet provider, this list is not limited. 

VJH cannot be held responsible for the consequences (direct or indirect) should the VJH site not be compatible with the software, hardware or configuration used by the customer, the internet connection used by the customer or when the customer is not able to transfer data via the web site. 

VJH cannot be held responsible for any damage (direct or indirect) to the computer configuration and/or software used by the customer, as well as the complete or partial loss of data as a result of :

  • the use of the site
  • the use of (as a mean of communication between the customer and the VJH) electronic communication such as e-mail programs, which may transmit errors or computer viruses.
  • downloading of data or programs from the web site which may contain errors or computer viruses. 

CHANGES TO THE TERMS AND CONDITIONS : 

The VJH reserves the right to change these general conditions at any time, without prior notice. It is the customers responsibility to read these general conditions before every new transaction.
